FAQs about applying for your qualification

On this page, we have collected the most frequently asked questions and answers about the exam.

Questions about applying

Applications for qualification certificates are made via Student-Ladok. If you no longer have access to an SH account, as a former student you can log in to Student-Ladok with BankID or Freja eID. This lets you access a limited version of Student-Ladok, where you can apply for your qualification digitally or share the content of a previous qualification with a prospective employer. If you cannot apply online, you can apply using an application form. Fill in the relevant form and send it to examen@sh.se.

Make one application per qualification. For example, if you have two main fields of study, you submit two applications via Student-Ladok.

During the peak seasons of June to September and February to March, processing times can be up to 6-8 weeks. At other times of the year, it can take approximately 1-4 weeks.

The date on the certificate when the qualification is awarded. When you finished your programme is stated on the certificate; this date is taken from the last course you took as part of the qualification.

From 1 July 2007, all higher education institutions have qualification regulations that accord with the Bologna Process. Transitional provisions were applied for a specific period, during which certificates could be issued under the old qualification regulations from 1993. To be awarded a diploma under the old regulations, students had to have started their studies before 1 July 2007 and completed their studies and applied for a qualification before 30 June 2015. If you have courses that you completed before July 2007, you can be awarded a qualification under the newer regulations if you have at least one course (to be included in the programme) that was completed after 1 July 2007. Different dates apply for teaching qualifications.

If you do not fulfil the requirements for the qualification you applied for, you may receive a decision stating that your application has been rejected. This decision states which requirements you have not fulfilled. If you receive a rejection, you can appeal the decision. The rejection decision will tell you how to appeal.

Which courses can I include in my qualification?

A general qualification consists of a main field of study with successive specialisations. The main field of study must have a specified number of credits including an independent project/essay. Courses outside the main field of study can be optional/elective courses that provide different numbers of credits depending on the qualification. If you are studying a programme, it may not include optional/elective courses.

A “programme” qualification is not a specific type of qualification, but can be a general qualification (does not lead to a specific profession) or a professional qualification (such as a teaching degree). If you are admitted to a programme that leads to a general qualification and have completed the compulsory courses according to the programme’s syllabus, the name of the programme is written on your certificate.

Credits from foreign courses must be transferred if you want to include them in your qualification. Apply for a credit transfer via Ladok for students. If you cannot log in to Ladok, you can apply using a form. It is important that you apply for a credit transfer immediately after returning home from completing your studies abroad.

When you apply for a qualification via Ladok for students, it shows a list of all your completed courses from Swedish higher education institutions. You can choose which courses to include, regardless of where you studied them.

If you have studied 90 credits in two different main fields of study, and have an independent project/essay worth 15 credits in each subject, you can earn two Bachelor’s degrees using the same courses.

Every course has a validated syllabus in which the course components add up to the whole course. At Södertörn University, course components (modules) may be included in a qualification if they are assessed as being clearly defined and delimited in their subject matter, including separate examinations. Modules that are assessed as suitable for inclusion in a qualification must be registered as finished and passed. To include modules from an unfinished course in your qualification, you must write which course and which modules in the free text field of your application. Degree administration officers cannot provide advance decisions about whether the module can be included in your degree, but you can determine this by looking at the syllabus.

Questions about a previously awarded qualification

Copies of certificates issued before June 2018 are available in the university archives. If you need a copy, one can be sent to you. From June 2018 onwards, the university has only issued digital certificates. These are archived digitally and can be downloaded and emailed to you. From 22 April 2024 you can collect your certificate yourself in Ladok for students. You can download it multiple times and also forward it to external recipients.

Contact examen@sh.se to get a certified copy. Please state your name, personal ID number and the address to which the copy should be sent.

We do not issue a new certificate if you have changed your first name or last name. It is extremely important that you check that your name is correct in Ladok for students before you apply for your qualification. If your middle names are listed in Ladok for students but you do not want them listed on your certificate, please inform the degree administration officer of this in the free text field of the application.

Exceptions are made if you have changed your name and personal ID number due to a change of legal gender.

Questions about your certificate

The certificate’s first page displays the title of your qualification and the date of issue. This is followed by one or two pages with course names, credits, grades and grading date. All the information on your certificate is provided in Swedish and English.

The certificate is accompanied by an English appendix, the Diploma Supplement. This describes your study programme and its place in the Swedish education system. Your certificate is incomplete without the Diploma Supplement.

Since June 2018, the university has only issued digital certificates.

Your certificate is issued digitally and will not be sent to you by the university, neither via email nor on paper. Instead, you download your certificate from Ladok for students. The certificate you download represents the decision about your qualification that is registered in Ladok. This means that you can download the certificate several times and its content will always be the same as the decision.

To download your certificate, log in to Ladok for students. In the Menu, select Degrees and certificates, and then follow the instructions.

If you have been awarded a qualification, you can log in to Ladok for students and retrieve a code you can use to share it. Sharing the code and a link to the page means the recipient (such as a potential employer) can access the information about your qualification and what it includes. The code is valid for six months and can be used multiple times and for multiple recipients.

The recipient can easily check that you have that qualification. Using the code you gave them, and your personal ID number, the recipient can see information about your qualification and what it includes, straight from Ladok. Your Diploma Supplement is not visible.

The Ladok study documentation system is used by 40 Swedish higher education institutions. Students can download their certificates in PDF format in Ladok for students. You can upload the document you want to verify here. External link.
